Contact Management Database - An Overview
The Contact Management Database module links dynamically with the
Sage Line 100 Sales Ledger. For Sage Line 50 users the link to the
Sales Ledger is by a CSV batch update. For both versions, there
is a two way link with the Sales Ledger. For example, changes can
be made to the prospect record and these will be reflected on the
appropriate customer account in the Sales Ledger. The Contact Management
Database can link to both the DOS and Windows versions of Sage Line
100 and Sage Line 50.
Prospect details can be recorded and if the prospect becomes a customer
then the customer account creation can be made from the Contact
Management Database.
The user can make notepad entries against each prospect record or
prospect's branch to monitor the sales function. 'Sales Prospecting
Letters', will be held in Word and the user will mark the record
in the Contact Management Database with the appropriate letter identification
required for the mail shot. When a mail shot letter has been generated,
the Contact Management Database will produce the relevant comment
and stamp each prospects notepad record when the sales letter is
sent. The person generating the mail shot information will also
need to enter a global follow up date. This will be entered on the
notepad record so follow up reports can be produced.
The purpose of the Contact Management Database is to monitor the
'Sales Cycle'. This will allow the user to enter records onto a
prospect or a prospect's branch record. In addition, comments can
be recorded every time a communication is made to the prospect and
'the next move' situation is monitored for the user.
The note pad in the comments section allows an unlimited amount
of text to be added and attached to an account. This information
is kept on the system until the user clears down the Contact Management
Database with the special routine provided. The system links to
Sage Line 100 or Sage Line 50 Sales Ledger and when the user supplies
goods or services to the prospect will allow a Customer Account
to be set up.
