Credit Control Features
Credit Control Record
An individual record for each account on the Sales Ledger. The record
will also display the Customers current Credit Limit and the current
Sales Ledger Balance. The balances will be displayed for each type
of currency held on each individual Sales Ledger account.
Note pad with unlimited records for adding user comments. Unlimited
notepad records can be generated and stored, the only limitation
is the hard disk space on your computer system.
Facility to put customers on stop.
The ageing relates to the Aged Debtor set up in the Sage Line 100
Sales Ledger ageing matrix. The system will automatically generate
the balance for a period when the user selects the debt for example
of 30, 60 or 90 days etc.
Multiple follow up dates allowed and these trigger specific reports.
Full on line enquiries to any of the records and comments in the
note pad on the database. Records (Customers) can be selected either
using the Account Number, Account Short Name, or Post Code.
By using a system hot-key, the Credit Control information can be
viewed at any time whatever program the user is running within Sage
Line 100. This is invaluable when the user is processing orders
and may wish to check the credit status of a customer before the
goods are shipped.
Day To Day Running
Ageing
The Credit Control Database works in conjunction with the customer's
ageing matrix set up on the customer's Sales Ledger account. When
the system is generating the amount overdue it will take this aspect
into consideration.
Generate Debt Chasing Comments
The system will automatically allow the user to generate debt chasing
comments for all customers in the Sales Ledger. In addition, these
comments can be entered individually by each credit controller when
telephone calls are made. The user is prompted to enter a follow
up date to be used on reports.
Quick Query Flag
If a customer has several invoices or credit notes under query this
utility will allow the user to set this up quickly per customer
account.
User Initials
Each credit controller on the system is set up with their own user
login. This will enable the Credit Control Supervisor to generate
reports and monitor work carried out by individual credit controller.
Schedule Bad Debts
Bad debts can be scheduled by status of either a bad debt to be
written off or in the hands of the solicitor.
View Outstanding Follow Ups
The credit control staff can view on a day to day basis all outstanding
credit control follow ups for them. The Credit Control Supervisor
can view all outstanding follow ups for all credit controllers.
This function automatically generates a report for the user.
Standard Comment Table
There is a standard comment table which the user can build up to
make the entering of comments on the credit control database easier.
Paid In Full
There is a facility for the user to mark a customer's record on
the credit control database as paid in full. A report can be generated.
Manual Termination
There is a facility for the user to mark a customer's record on
the credit control database as manually terminated. A report can
be generated.
Enquiries & Follow Ups
When the user enters the system a list will be displayed for all
their individual follow-ups for that day. The prompt will remain
until the user takes the appropriate action. Full enquiry facility
with 'drill down' to expand the comment lines. This information
is also available when the user is entering comments on the MSD
Credit Control Database. Credit Control Reports There are several
credit control management reports, the major ones are highlighted
below.
Report Selection
The system comes with a full suite of management reports, which
can be run globally or by each individual credit controller.
Credit Control - Bad Debts
The system will produce 'On-Stop' lists and show which of the customers
on this list are in the hands of the solicitor or registered as
a bad debt.
Paid In Full Report
If an account is paid in full then the system will automatically
remove the account from 'follow up' status and generate an audit
report.
Manual Termination Report
If an account is manually removed 'terminated' from the credit control
system the system will generate an audit report.
Senior Management Report
This report will display all the information and comments on the
customers followed up between a specific date range entered by the
user(s) and the severity of the debt owing to the company. This
report is for the Senior Management of a company, i.e. Financial
Director, prior to a credit control meeting. The report will show
by each individual user, if multiple credit controllers are employed,
the activity between the date range selected.
Credit Controllers Follow Up Report
The purpose of this report is to assist the Credit Control staff
who have to chase for revenue. The report will print the last comments
entered on the credit control database and the amount being chased.
Selection criteria is on date range and account number. The report
will use the follow up date entered by the user so forgetting to
ring the customer back as agreed or chase that cheque in the post
need never happen again.
Full Comment Report
The purpose of this report is to assist the Credit Control staff
in printing a full credit profile of a customer. The report will
print for the user all the history entered for this company either
since their record was first entered on to the computer or up to
the last date since the history was cleared down.
Credit Control Daily Audit Report
Every time a new contact is entered onto the Credit Control database,
the system will generate an audit report. The Audit report will
be printed on a date range. This should be run on a daily basis
so management can check on the new companies added to the Credit
Control Database on a daily basis.
On Stop Report
The user will be able to print a list of all the customers that
are currently on stop and the amount of debt that the company is
chasing, shown by each individual customer.
Aged Debtor Report
The user will be able to print an aged debtors report for up to
999 days. If the Analysis Code 1 field is used on the Sage Line
100 Sales Ledger then the user will be able to search on this field
to produce an aged debtors report by customer type e.g. Distributors
Credit Control Utilities There are utilities to perform the following
functions.
Setting Up The Users Initials, So That The Reports Can Be Produced
By User.
