Logistics Software From MSD

MSD were commissioned in 1995 to transform a local haulage companies records from a manual system to computerised accounts. Sage Line 100 was chosen as the accounting vehicle and the following modules were written to complete the system.

Traffic Office Database
This module is broken down over the following areas. A vehicle master file which holds all the vehicle and trailer records. An employee file which contains all the drivers details both company drivers and agency drivers. Expense file which analyses all the driver and vehicle expenses both by driver, vehicle and trip. A destination file which holds the routes the company operates. Enquiries and reports can be run by accounting period, calendar month, daily or weekly. The job records are entered on to the system and then the driver & vehicle expenses are posted to the job. On screen enquiries allow the user to see what jobs have been completed, are currently active and jobs which are over schedule and have not been invoiced. Fuel records are maintained.

Traffic Office Invoicing

When jobs have been completed they are sent to the invoicing file for billing to the client. The user can edit this file before the customer's invoice is produced. Each customer can have their own template and invoice information can be stored to allow the user to carry out monthly billing. New invoice templates can be set up on the fly for the client and can then be saved against the customers template record. The invoiced information is posted to the job so a true picture can be obtained to see if the particular job (route) is profitable.

Fleet Management Database

This module looks after the vehicle servicing for the company. A diary within the database will allow the user to see which vehicles are available for work, which vehicles are in the workshop and when MOT, TAX, Plating et cetera; are due for each vehicle. Scheduled servicing can be set up on the diary. When jobs have been completed the user enters this in the diary. The next MOT for example will automatically be scheduled for next year when the user marks in the diary that the MOT has been carried out. There is an accident file which contains all the accident history and any driver discipline action. Tyres have their own database and the user can obtain 'usage' and 'wear and tear' information for each tyre, model and manufacturer. The job database records all the work carried out on the vehicle, broken down over labour, stock and bought in materials. Full enquiries and reports can be obtained by vehicle & job.
